Virtual Coworker Inc. (“Virtual Coworker,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit virtualcoworker.com, contact us, inquire about or use our services, communicate with us by text, or participate in a meeting with us.
1. Information we collect
Depending on your interaction with us, we may collect:
- Contact and identifying information: name, company, job title, email address, telephone number, mailing address, IP address, and online identifiers.
- Service and commercial information: services you ask about, proposals, transactions, and our relationship with you.
- Website and device information: pages viewed, links clicked, referring pages, interactions with ads or emails, browser and device details, approximate location derived from IP address, and diagnostic data.
- Communications: information submitted through forms, email, chat, phone calls, surveys, or support requests.
- Meeting information: your voice, image, and content you share if a meeting is recorded.
- Preferences and inferences: communication preferences and, where applicable, likely interests inferred from your interactions with our website or advertising.
Sensitive personal information. We do not intentionally request sensitive personal information through our public website. Please do not submit it through general inquiry forms.
2. Where information comes from
We collect information directly from you; automatically from your browser or device; and, where applicable, from analytics and advertising providers, business partners, referrals, social platforms, and publicly available business sources.
3. How we use information
We use personal information to respond to inquiries; provide and improve our services; manage business relationships; schedule meetings and communicate with you; operate and secure our website; measure website and advertising performance; personalize content and advertising where permitted; detect misuse; comply with legal obligations; and carry out purposes explained when the information is collected.
4. When we disclose information
We may disclose relevant information to providers that help us operate our business, such as website hosting, security, CRM, communications, meeting, analytics, and payment providers; to advertising partners as described below; to professional advisers and authorities where appropriate; in connection with a business transaction; or at your direction.
We do not sell SMS opt-in data or consent records or share them with third parties for their independent marketing purposes. Providers involved in delivering our text messages, such as messaging platforms and carriers, may process the information needed to provide that service.
Separately, advertising technologies on our website may disclose online identifiers and website activity to advertising partners. Under some US state privacy laws, these disclosures can be considered a sale, sharing, or targeted advertising even if no money changes hands. We do not describe these website disclosures as covered by the SMS non-sharing promise above.
5. Cookies and advertising technologies
We and our providers may use cookies, pixels, tags, local storage, and similar technologies for essential site functions, preferences, analytics, conversion measurement, and advertising. These technologies may collect online identifiers, device details, browsing activity, referral information, and interactions with our ads or website.
Depending on the tools actually enabled, providers may include Google, Microsoft Advertising, OpenAI Ads and Meta Ads. Our Cookie Policy explains the categories of technologies, the providers, their purposes, and available controls.
You can use our cookie management tool to manage nonessential technologies and to exercise applicable advertising opt-out rights. Where required by law, we process recognized browser opt-out preference signals, including Global Privacy Control, for the browser or device sending the signal.
6. Meeting recordings
We may record meetings for documentation, quality assurance, and internal review. When a meeting will be recorded, we will provide notice and obtain any consent required by applicable law. A recording may include your voice, image, name, and information you share. Access is limited to people with a business need and to providers that host or support the meeting service.
If you have concerns about recording, tell the meeting host before recording begins. You may also contact dpo@virtualcoworker.com about a recording or a request to access, correct, or delete related information, subject to applicable law.
7. SMS communications
If you opt in to receive texts from us, we use your mobile number and related contact information to confirm appointments and respond to inquiries. Message frequency varies, and message and data rates may apply.
Reply STOP or CANCEL to opt out, or HELP for assistance. You may also contact us at 888-964-8644 or dpo@virtualcoworker.com. We may send a final text confirming your opt-out.
We retain SMS subscription and consent records as needed to administer the service, honor opt-outs, document compliance, and meet applicable legal requirements. Opting out of messages does not necessarily require immediate deletion of records needed for those purposes.
8. Retention and security
We keep each category of information for as long as reasonably necessary for its stated purpose, taking account of our relationship with you, operational needs, disputes, security, and legal requirements.
We use administrative, technical, and physical safeguards designed to protect information and restrict access based on business need. No method of storage or transmission is completely secure.
9. US state privacy rights and California disclosures
Depending on where you live and which laws apply to us, you may have rights to access, correct, or delete personal information; obtain a copy; opt out of its sale, sharing, or use for targeted advertising; limit certain uses of sensitive personal information; or appeal a decision about a request. We will not unlawfully discriminate against you for exercising a privacy right.
